Printing and Offline Use
How to generate PDFs, print procedure packets, and use documents when network access is limited.
When to print procedures
The live app is the source of truth, but printed PDFs are useful for formal work packets, contractor hand-offs, training materials, and audit evidence. Many facilities keep printed binders near the maintenance office as a backup when tablets or phones are not practical in the field.
Tips
- Print procedures after they are finalized and linked to a QR code.
- Date the printed packet so workers know which version they are holding.
- Review printed binders quarterly and replace outdated pages.
Generating and downloading PDFs
From the Dashboard or procedure list, click Download PDF on any linked procedure. The system generates a standardized PDF that includes the equipment details, each step, isolation device information, and the linked QR code reference. If a shared step is updated, affected PDFs can be regenerated to keep field documents current.

- Download a single procedure for a one-off repair.
- Download every procedure on a line for a planned shutdown packet.
Using QR codes when offline
Scanning a QR code requires an internet connection to load the live procedure or PDF. If your facility has areas with poor connectivity, consider printing PDF packets for those locations or saving the PDF to a mobile device before heading to the work area. The QR sticker itself does not store data. It only points to the procedure record in TegisSafety.
Tips
- Test scan coverage in remote areas of your plant during rollout.
- Keep a printed binder as backup for critical or rarely-serviced equipment.
Organizing printed packets
A well-organized binder makes field work safer. Group procedures by site, line, or equipment type. Include a cover sheet with the procedure name, effective date, revision number if tracked internally, and the support contact. Store binders where authorized workers can reach them but where they will not be damaged by grease, water, or chemicals.
